Overview

The Deal Room is the client-facing page where your prospect or customer tracks their SalesHive partnership: meetings, contract signing, deposit payment (when required), Playmaker intake, and onboarding milestones. You reach it from the unique link SalesHive shares after proposal. When booking or rescheduling, confirm the prospect invite email and add anyone else who should receive the calendar invite. Older /room links redirect to the signed-in Platform Deal Room. Public /room/share links are separate review pages that can allow proposal signing when the current stage permits it and the agreement is unsigned. Meeting and account actions require signing in. Authenticated staff may see a Playbook Review Schedule recovery control when the stage is marked scheduled but its meeting record is missing. If a scheduled kickoff has no usable room link, an authenticated internal staff view can reuse a live kickoff room or create and persist a durable SalesHive Video room; public reads never create one. Scheduled meeting cards can show Join when a live SalesHive Video room link is available, including a recovered kickoff link. When a meeting recording is ready, its stage card shows Recording. Recording playback can be available before the transcript is finished, and the room refreshes ready SalesHive Video playback links when it loads so an older expired signed link does not strand the recording. If SalesHive marks an engagement Closed Lost in the inactive sales pipeline, the room keeps the proposal presentation available and uses the Proposal Sent timeline and visibility settings, so the conversation can restart without losing proposal context.

How to use this page

  1. Open your Deal Room

Open the Deal Room link from SalesHive and sign in with an invited account if prompted. Older /room links redirect to the matching Platform Deal Room.

  2. Follow the launch timeline

The left column tracks Sales steps (intro, demo, proposal review) and Onboarding steps (deposit when applicable, kickoff, Playmaker, playbook approval, payment, and campaign launch). Green checks mark completed milestones. Intro Meeting shows as a single step, and a current Playbook step reads Being prepared until your Playbook is ready to open. If the engagement is in Inactive - Sales at Sales - Closed Lost, the room keeps the proposal context and shows the timeline at the Proposal Sent position for possible re-engagement.

  3. Book or reschedule a meeting

In the signed-in room, choose Schedule on an available meeting card. Check the host name and meeting length shown in the picker, choose your timezone, date and an offered time, then review the prospect name and required email. Add other invitees under Add Participants and select Confirm Booking. Skipped clock times and ambiguous later occurrences are not offered on daylight-saving change dates; the meeting keeps its full elapsed duration. To change a scheduled meeting, select Reschedule and review the notice. Confirm reschedule cancels the existing meeting and notifies attendees before opening the new-time picker; Keep meeting leaves it unchanged. Saved invite recipients carry into the replacement form. Playbook Review can be rescheduled after completion or recording; other meeting types cannot. If only a historical Playbook Review recording remains and no appointment is booked, Reschedule opens the new-time picker directly without a cancellation.

  4. Join a scheduled meeting

Open the meeting card and select Join when its current SalesHive Video room link is available and the current meeting is not complete. A future booking remains joinable even when earlier recordings appear on the same card. A recovered kickoff link remains paired with the kickoff date. Recordings and ready transcripts remain available separately for earlier meetings.

  5. Open a completed recording

Open the completed meeting card and click Recording to watch it in a new tab. For a ready SalesHive Video recording, the room refreshes the playback link when it loads, so an older expired signed link does not prevent playback. A transcript button appears separately after transcription is ready.

  6. Complete your next action

The center column highlights what to do now: book a meeting, sign the agreement, complete Playmaker, pay a deposit when required, or download your signed contract. A Closed Lost engagement can still show its proposal section when the Proposal Sent visibility settings allow it.

  7. Reach your team and resources

Use Your Team to email the assigned sales rep, strategist or onboarding specialist. The sales rep may also have a Book a Call link. Resources contains the available deck, sandbox, playbook and shared file links.

  8. Pay a deposit when required

If your agreement includes a refundable deposit, a gold banner appears with a Pay Deposit Now button until payment is complete. Engagements with no deposit required skip this banner entirely.

What the buttons do

Schedule
Opens the meeting booking form from a visible meeting card. Choose a date and time, then confirm the prospect invite recipient and any additional participants. In an authenticated staff view, it can also appear for a Playbook Review stage marked scheduled when the actual meeting record is missing, so staff can recover the booking. A successful booking includes a SalesHive Video join link, which appears as Join on the scheduled meeting card.
Reschedule
For a booked appointment, shows a cancellation notice. Confirm reschedule cancels it and notifies attendees before opening a new booking form with saved invite recipients. Playbook Review remains available after completion or recording; if there is no booked appointment, it opens the picker directly.
Book a Call
Opens the sales rep public booking page when a calendar link is available.
Prospect (calendar invite recipient)
Name and required email fields for the person who should receive the calendar invite. The values are pre-filled from the primary contact when available and can be edited.
Add Participants
Adds other email addresses to the meeting invite. Added participants can be reviewed and removed before booking.
Confirm Booking
Rechecks availability for the selected meeting type before creating the booking and sending invites. Requires a valid prospect email and an offered time that still meets calendar, duration, buffer, notice and kickoff-limit rules. An already scheduled future meeting must use Reschedule first.
Pay Deposit Now
Opens the deposit checkout flow. Only shown when your billing terms require a deposit and it is not yet paid.
Signed Agreement
Opens your executed contract PDF after signing. Newly signed documents include the billing terms applied at signing, including standard terms when no custom billing wording was saved.
Open Playmaker
Launches the Playmaker questionnaire to share goals, ICP, and positioning.
Resource links
Quick links to deck, sandbox, example playbook, proof by industry, and your shared Drive folder.
Join (scheduled meeting)
Opens the current SalesHive Video room when its join link is available and the meeting is not complete. Earlier recordings do not prevent joining a future booking. This includes a kickoff link recovered by authenticated internal staff.
Recording (completed meeting)
Opens the completed meeting recording in a new tab when playback is ready. The room refreshes ready SalesHive Video playback links on load, so an older expired signed link does not strand the recording. The recording may appear before the transcript is available.

Common questions

Yes for meeting and account actions. An older /room link takes you to the signed-in Platform Deal Room; use an invited account with access to the client. A separate public /room/share link lets recipients review the proposal and can allow signing when the current stage permits it and the agreement is unsigned.
The prospect name and required email identify who should receive the calendar invite. The values are pre-filled from the primary contact when available, can be edited, and the email must have a valid format. You can also add other invitees with Add Participants.
The saved prospect and additional participant email addresses are carried into the new booking form after you confirm the reschedule. Review or edit them before choosing the replacement time.
Many engagements are structured with no upfront deposit. The deposit banner only appears when your specific agreement requires one and payment is still outstanding.
When signing is available, review the proposal, complete the required billing details and signature, accept the electronic-signature agreement, then select Confirm & Sign Agreement.
Use the email links in Your Team. A sales rep with a booking link also has a Book a Call button.
If the deal stage says Playbook Review Scheduled but the room has no saved playbook meeting record, an authenticated staff view exposes Schedule as a recovery path. Choose a time and complete the booking. A review that already has a scheduled meeting continues to show its normal meeting actions.
Open the meeting card and click Join. The button appears when the upcoming meeting has a SalesHive Video room link. A kickoff meeting keeps its matching join link alongside the scheduled date, including after an internal staff view repairs a missing kickoff room.
The booking is not saved and no calendar invite is sent. The page shows an error, so you can retry the booking instead of ending up with a meeting nobody can join.
Yes. When an authenticated internal teammate opens a scheduled kickoff with no usable room link, the room first reuses a live kickoff SalesHive Video room when available. If none exists, it creates a durable room and saves its link on the deal. Public client reads do not create or change the room.
Yes. The Deal Room shows Recording as soon as playback is ready. Transcript appears separately after transcription finishes.
The Deal Room refreshes the signed playback URL from the ready SalesHive Video recording each time it loads. You can use Recording as long as the recording is ready; transcript availability is separate.
When SalesHive marks the engagement Closed Lost in the inactive sales pipeline, the Deal Room treats it as Proposal Sent for timeline and proposal visibility. The proposal can remain available so the prospect can re-engage without losing the earlier context.
Intro and Demo meetings and Proposal Review last 30 minutes; Kickoff lasts 90 minutes; Playbook Review and Pre-Launch last 60 minutes. These lengths are fixed for the meeting type, even if the host has a different default booking duration. Offered times must fit the full meeting before the host availability ends and avoid calendar conflicts, existing meetings and any applicable buffer and minimum notice. A saved minimum notice of zero allows same-day times when the other checks pass. A saved buffer of zero adds no extra gap between meetings. Kickoffs are limited to two per Eastern calendar day. These checks run again when you confirm. If no times are available, choose another date. If times fail to load, use Retry. For meetings other than Playbook Review, a saved kickoff also blocks its recorded calendar owner for 90 minutes, even after assignments change or the external calendar copy is missing. Older kickoffs without a saved owner use onboarding-specialist routing, not the assigned strategist. Playbook Review continues to use its host and shared onboarding calendars.
Intro, Demo and Proposal Review use the assigned sales rep, except that Buzz-owned deals use the designated active human sales host. Buzz remains the CRM owner. If that human host is unavailable or has no email, booking stops for staff review instead of using Buzz as the calendar host. Kickoff uses the assigned onboarding specialist, or the designated onboarding fallback if no specialist is found. A new Playbook Review uses the assigned strategist when an email is available, otherwise the shared onboarding calendar. An already scheduled review keeps its saved calendar owner; older reviews without one use the shared onboarding calendar. Pre-Launch uses the strategist, or the sales rep if no strategist is assigned. The availability picker and booking use the same host rules. Check the host name beside the meeting length before confirming.
Ask your SalesHive team to check the host assignment and email, then reopen the booking form. No booking or invite is created for this error. A missing Kickoff or saved Playbook Review host does not automatically switch the meeting to the sales rep. A host record with an empty email also prevents booking.
For "That time is no longer available", reopen the booking form to refresh availability and choose another offered time. For "Calendar availability is temporarily unavailable", try again later; if times fail to load, use Retry. These availability errors create no new booking or invite. If you already confirmed a reschedule, the original meeting was canceled before this check and is not restored; you still need to confirm a replacement.
Reload the Deal Room and review the saved appointment. If it is already scheduled, use Reschedule and review the cancellation notice. If you see "This meeting changed. Refresh the Deal Room before rescheduling.", the changed appointment was not canceled by that attempt. Refresh before deciding whether to reschedule it.
Yes. In a signed-in, editable room, select Reschedule on the old Playbook Review. If only a historical recording remains and no appointment is booked, the new-time picker opens directly without canceling the old recording. If an appointment is booked, review and confirm its cancellation first. Saved invite recipients carry into the picker. A future booking stays scheduled and joinable when its room link is available, while earlier recordings remain available separately.
