You may also have the right to opt out of targeted advertising and profiling, and, where we rely on consent, to withdraw it. If we deny your request, you may appeal by replying to our decision, and you may contact your state attorney general or local data protection authority.
If your information was provided to SalesHive by one of our customers, such as a customer’s CRM records or call recordings, we may refer your request to that customer and assist them in responding.

Sale of Data: SalesHive does not sell your data to any third parties.
Information We Collect
SalesHive may collect information about you in different instances: (1) when you provide information to us; (2) when you or your organization use our Services; (3) when our customers provide, import, connect, or generate information through the Services; (4) when we obtain business contact or company information from third-party providers or public sources; and (5) when you interact with SalesHive emails, calls, websites, deal rooms, booking pages, investor pages, client portal pages, or other SalesHive technology.
Information You Provide To Us
You may elect to fill out a contact form, sign up for a plan, call, chat or speak with our website assistant, book a meeting, sign a document, upload a file, leave feedback, submit onboarding information, connect an integration, or email SalesHive. Upon doing that you may provide information to SalesHive which may include your name, contact information, title, company, account credentials or authentication identifiers, billing information, preferences, communications, attachments, and/or other forms of personally identifiable information (“PII”).
Customer, CRM, and Client Portal Information
Our Services may store and process customer records, client contacts, company details, deal records, contract and billing information, task and note history, campaign configuration, onboarding playbooks, client feedback, support requests, files and documents, permissions, audit logs, and information entered by authorized SalesHive personnel or customer users.
Forms on Customer Websites
Customers may use SalesHive forms or enable form collection on their own websites. When you submit a form using these features, SalesHive may receive your contact details, message, other form answers, the form name, page address, referring page, and advertising or campaign identifiers. We store this information for the customer to manage inquiries, assign follow-up work, and measure where leads come from. The customer controls its website notices and the purposes for which it uses your submission.
Where a SalesHive form offers a separate marketing email checkbox and you select it, we may record the consent wording, your email address, the form and page, and the submission time. Collecting an existing form from a customer’s website does not itself record a marketing opt-in in SalesHive. A form submission or recorded opt-in does not remove an existing unsubscribe or suppression record.
Team Chat and Connected Collaboration Accounts
Team chat features process messages, channel and participant information, profiles, reactions, files or file links, and related activity. When an authorized user connects a Slack workspace, we may import channel history and keep connected channels synchronized. Messages posted in linked SalesHive channels may also be sent to Slack, including the sender’s name, profile photo, mentions, and file links. Content is available to people permitted to access the relevant channel in each service, and copies held by Slack are subject to that service’s terms and the organization’s settings.
Prospect, Outreach, and Campaign Information
SalesHive and our customers may process business contact information about prospects and customers, including name, business email address, business phone number, job title, company, location, LinkedIn or other business profile URLs, company firmographics, source information, campaign membership, outreach status, email engagement, call outcomes, reply history, unsubscribe, do-not-contact, suppression, and deliverability information.
Connected Mailbox, Calendar, and Communication Information
If you or your organization connect a mailbox, calendar, or communication account, we may process OAuth tokens, account identifiers, email addresses, message headers, message bodies, threads, replies, sent messages, drafts, labels, folders, attachments, signatures, calendar availability, calendar events, meeting links, and related metadata as needed to provide the enabled email, inbox, scheduling, and outreach features.
Calls, Meetings, Recordings, and Transcripts
SalesHive may process call and meeting data, including dialer activity, call logs, phone numbers, timestamps, participants, audio and video recordings, live and recorded transcripts, speaker labels, AI-generated notes and summaries, real-time AI suggestions, coaching notes, follow-up recommendations, and meeting outcomes when those features are used. Customers who record or transcribe calls and meetings are responsible for giving any notice and obtaining any consent required by law. If you do not want a call with us recorded, tell us at the start of the call.
AI, Agents, and Automation Information
Our Services include AI and automation features, including AI agents that work on behalf of customers. These features may process prompts, instructions, chat and voice conversations, uploaded files, CRM records, campaign data, email content, call and meeting recordings and transcripts, generated drafts, summaries, agent activity history, tool outputs, and other business information to provide drafting, summarization, classification, recommendations, quality assurance, list building, reporting, support, and workflow automation. See “Artificial Intelligence and Automated Processing” below.
Billing, Usage, and Commercial Information
We may collect and process billing contact and mailing address information, billing provider identifiers, customer and subscription records, plan, seat, and trial information, invoices, payment status, tax information, usage records, AI and data credit balances, credit purchase records, refund and dispute records, and related commercial activity. Payment card details are collected by our payment processor and are not stored by SalesHive.
Information We Collect From Usage of Our Services
We collect information from visitors and users of our websites, applications, email communications, pages, and technology. Information collected in this manner is provided automatically by your system or by your interaction with our Services. This may include:
- IP Addresses
- Referring Web Pages
- Content/Web Pages you visit
- Searches you perform
- Browser, device, operating system, and user agent information
- Product usage events, authentication events, page views, and feature interactions
- Email opens, email clicks, deal room views, investor page views, booking activity, signature activity, and similar engagement signals
Information We Obtain from Third-Party Providers
We may pay to acquire information about potential customers and companies from third-party providers, enrichment providers, public sources, and customer-provided sources. This information can include business contact information, company information, job information, firmographics, professional profile information, signals, and source metadata. Once we receive this information, we handle it in accordance with this Privacy Policy, applicable law, and our agreements.

Artificial Intelligence and Automated Processing
SalesHive uses artificial intelligence throughout the Services. AI agents and assistants may read and draft emails, classify and route replies, research companies and contacts, transcribe and summarize calls and meetings, suggest what to say during a call, update CRM records, prepare reports, and answer questions in chat or by voice. Depending on how a customer configures the Services, AI agents may also send approved messages, book meetings, and take other actions on that customer’s behalf. SalesHive personnel supervise these systems and may review AI activity to provide support, maintain quality, and investigate problems.
AI service providers
To provide AI features, we send the information needed for a task to AI model, speech recognition, and infrastructure providers, currently including OpenAI, Anthropic, Amazon Web Services, OpenRouter, ModelRun, Cerebras, and Deepgram, and we may use other providers for particular features. This information may include text, files, email content, and call or meeting transcripts relevant to the feature you use. We use these providers’ business offerings, and our primary AI model providers do not use the content we send them to train their general-purpose models under their business terms. Providers may retain information for limited periods for abuse monitoring and legal compliance under their own terms.
How we limit AI use of your information
- We process customer information with AI to provide the Services to that customer. We do not use one customer’s confidential information to serve another customer.
- We do not sell personal information to AI providers or allow them to use it for advertising.
- We may use usage data, feedback, outcomes, and aggregated or de-identified information to improve the Services.
- We do not use Google user data obtained through Google APIs to develop, improve, or train generalized AI models.
- Authorized users of a customer account may be able to see the activity and conversation history of AI agents working on that account.
Accuracy and automated decisions
AI output can be inaccurate or incomplete. Customers are responsible for reviewing AI output before relying on it. SalesHive uses AI to support sales, marketing, and account operations, such as prioritizing replies or suggesting next steps. We do not use AI to make decisions that produce legal or similarly significant effects about individuals, such as decisions about employment, credit, housing, or insurance.
Sensitive information
The Services are designed for business information. Please do not submit sensitive personal information, such as government identification numbers, financial account numbers, health information, or information about children, unless we have agreed to it in writing.
If We Contact You on Behalf of a Customer
SalesHive helps businesses reach other businesses. If you received an email, call, or message from SalesHive or from one of our customers through our Services, we may have obtained your business contact information from that customer, from business data providers, or from public sources such as company websites and professional profiles.
You can opt out at any time by using the unsubscribe link in any email, asking the caller not to contact you again, or writing to privacy@saleshive.com. We keep a suppression record of your opt-out so that the business that contacted you does not contact you again through our Services. To ask that no business using SalesHive contact you, write to us at the address above. You may also ask us which information we hold about you and request that it be deleted, as described below.
Google, Microsoft, and Connected Mailboxes
When you connect a Gmail, Google Workspace, Microsoft 365, or Outlook mailbox or calendar to the SalesHive platform (a "Connected Mailbox"), SalesHive accesses provider user data through OAuth 2.0 with your explicit consent.
Google scopes we request and why:
- Send email (gmail.send): To send outbound campaign messages and replies from your Connected Mailbox on your behalf, as configured in your SalesHive account.
- Read email (gmail.readonly): To detect inbound replies, display conversation threads in the SalesHive inbox, and support reply handling. We do not use Gmail data for advertising.
- Modify email (gmail.modify): To mark messages read, apply labels needed for reply tracking, and maintain Gmail push notification watches for timely reply detection.
- Basic settings (gmail.settings.basic): To retrieve your email signature so outbound messages match your mailbox settings.
- View calendar (calendar.readonly): To read your calendar availability and upcoming events when you use SalesHive scheduling features tied to your Connected Mailbox.
- Manage events (calendar.events): To create calendar events (for example, when a meeting is booked through SalesHive) on calendars you can access.
- Identity (openid, email, profile): To confirm which Google account you connected and bind it to the correct SalesHive email account.
Email warming and Google accounts
SalesHive offers deliverability and email-warming services for sending infrastructure that SalesHive owns and controls (SalesHive-owned domains, IP addresses, and SalesHive Workspace mailboxes managed under domain-wide delegation). Email warming is not provided for Google accounts connected through this OAuth consent flow, and the Gmail API scopes requested here (gmail.send, gmail.readonly, gmail.modify, gmail.settings.basic) are not used to warm, seed, or generate traffic to any Google account. Connected Google mailboxes are used solely for the account holder's own one-to-one business correspondence.
Microsoft scopes we request and why:
- Send mail (Mail.Send): To send outbound campaign messages and replies from your Connected Mailbox on your behalf, as configured in your SalesHive account.
- Read and write mail (Mail.ReadWrite): To read inbound messages, sync replies, create drafts, retrieve attachments, maintain thread state, and support inbox workflows.
- User identity (User.Read, openid, profile, email): To confirm which Microsoft account you connected and bind it to the correct SalesHive email account.
- Offline access (offline_access): To maintain the connection and refresh access tokens without requiring you to reconnect for each sync or send.
How we use connected mailbox and calendar data:
- Only to provide email sending, reply detection, inbox, and scheduling features you enable in SalesHive.
- We do not sell Google or Microsoft user data.
- We do not use Gmail, Outlook, or calendar data for advertising or unrelated profiling.
- We do not use Google user data to train generalized AI models.
- Human access is limited to authorized SalesHive personnel supporting your account.
How we store connected mailbox and calendar data:
- OAuth tokens (access and refresh tokens) are encrypted at rest on SalesHive servers in the United States.
- Email content processed for reply detection and inbox display is stored in SalesHive systems associated with your account.
- We retain data while your Connected Mailbox remains active and as needed to provide the service.
How to disconnect and delete:
- Disconnect your mailbox in SalesHive Platform settings (Email Accounts) or ask your SalesHive administrator.
- Revoke access anytime in your Google Account at https://myaccount.google.com/permissions
- Revoke Microsoft access in your Microsoft account or tenant application permissions settings.
- To request deletion of stored mailbox data, email privacy@saleshive.com.
SalesHive's use of Google user data complies with the Google API Services User Data Policy, including Limited Use requirements.
When and How We Disclose/Share Your Information
Your information may be stored in a third-party system. We may disclose your personal information to, and in cooperation with, law enforcement officials on receipt of a valid court order.
Your personal information may be disclosed to other third parties when SalesHive is required to do so by law or in the good faith that such action is necessary to:
- Comply with a legal obligation
- Protect and defend the rights and property of SalesHive
- Act in urgent circumstances to protect the safety of users of services or the public
- Protect against legal liability
SalesHive shares information with its service providers to provide the Services. SalesHive may also share information as part of an acquisition, merger, sale, or change of control or business entity status, or bankruptcy, or with affiliated entities subject to this Privacy Policy.
Depending on the feature used, information may also be disclosed to or made available to: authorized users within your organization; SalesHive personnel and contractors who need access to support the Services; customers and their administrators; connected mailbox, calendar, CRM, billing, data, calling, meeting, document, collaboration, analytics, and AI service providers; recipients of emails, calls, meeting invitations, files, or documents that you or your organization choose to send or share; and other parties at your direction or with your consent.
Control of Your Information
SalesHive makes reasonable efforts to provide you reasonable access to any of your personal information we maintain within one month of your request which you can submit at privacy@saleshive.com. We provide this access so that you may review, correct, amend, or request deletion of your data.
You can also ask us about:
- Why we have your personal information
- How we got your personal information
- What we have done with your personal information
- To whom we have communicated your personal information
- Where the personal information has been stored, processed or transferred
- How long we will retain your personal information
- The safeguards in place to protect your information when it is transferred to third parties
Finally, you can ask us not to collect or use your personal information for certain purposes, you can ask us not to provide your personal information to a third party, or you can ask us to delete your personal information.
We retain personal information for as long as reasonably necessary to provide the Services, maintain records, comply with legal obligations, resolve disputes, enforce agreements, preserve security and audit logs, maintain suppression and unsubscribe records, and support legitimate business purposes. Retention periods vary by data type, feature, customer agreement, and legal requirement. Disconnecting an integration stops future access through that integration, but previously stored records may remain until deleted according to our retention practices or an approved deletion request. When a customer account ends, we keep its data for a reasonable period so the customer can download it or return, and a customer administrator may ask us to delete it sooner. Opt-out and suppression records are kept so we can continue to honor them.
IMPORTANT: Any information by which you can be personally identified, such as your name, physical address, e-mail address and/or phone number and/or other content that you voluntarily disclose to our services may become available to the public and may be accessed, used and stored by others. You should not post sensitive personal information or any other information that you would not want made public.
Subject to Change
This Privacy Policy is subject to change at any time by updating this page. Periodically, you should return and review this Privacy Policy. Any use of the site following the posting of any new or modified privacy agreement constitutes your acceptance of the modified agreement.
We review this Privacy Policy regularly as our Services change. The date at the top of this page shows when it was last updated. When we make a material change to how we collect, use, or share personal information, we will notify active customers by email or through the Services, in addition to posting the updated Privacy Policy on our website.
