Overview

Deal Stages sets the pipeline a client's deals move through and the won and lost reasons offered when a deal closes. Stages are numbered in pipeline order, and that order becomes the column order on the Deals Pipeline board. Rename a stage, move it with the arrows, give each open stage a win probability and a Stalled after limit in days, mark which stages mean won or lost, and add or delete stages. Below the stages, Won and lost reasons holds the two pick lists. Every change saves automatically, so there is no Save button.

How to use this page

  1. Select the client

Pick the client in the top-right switcher to load their stages. A new client starts with a default pipeline: New, Qualified, Proposal, Negotiation, Won and Lost. You can also get here from Edit stages on the Pipeline page. All deals at the top returns to the board.

  2. Add a stage

Type a name in the New stage name field, then press Enter or click Add stage. The new stage goes to the end of the list. Add stage stays greyed out until you type a name.

  3. Rename a stage

Click into a stage name, edit it, then click away. The new name saves when you leave the field. An empty name is ignored.

  4. Reorder stages

Use the up and down arrows on a row to move a stage one place. The numbers update to match, and the Pipeline board columns follow the same order.

  5. Mark won and lost

Click Won or Lost on a stage to mark it as an outcome. Click the highlighted button again to clear it. A stage is one or the other, never both. Won and lost stages get a tinted number so they stand out.

  6. Set win probabilities

Type a whole number from 0 to 100 in the Win % field on an open stage (how likely a deal there is to close), then press Enter or click away to save it. Clear the field to remove it. Won stages always show 100% and lost stages 0%, with no field to edit. A number outside 0 to 100, or one with decimals, shows an error and the field goes back to its saved value. Once any open stage has a win probability, the Deals board shows a weighted total on each open stage column, and Deal Reports shows weighted figures on each stage and owner row.

  7. Set stalled limits

Type a whole number of days from 1 to 365 in the Stalled after field on an open stage, then press Enter or click away to save it. Clear the field for no limit. An open deal that stays in that stage longer gets a Stalled label on the Deals board, in the table and on the deal page, and the Stalled in stage view on the Deals board lists it. Won and lost stages show Never stalls instead of a field. Any other value shows an error and the field goes back to its saved value.

  8. Delete a stage

Click the trash icon on a row, then confirm. Deals in that stage are not deleted; they move to No stage on the Pipeline board until you give them a new one.

  9. Manage won and lost reasons

Scroll to Won and lost reasons below the stages. Each client starts with a short list for each outcome: Lost reasons are Price, Timing, Chose a competitor, No decision and Other; Won reasons are Product fit, Price, Relationship, Timing and Other. To add one, type in New lost reason or New won reason and press Enter or click Add. To rename one, edit its text and click away or press Enter. Click the trash icon to remove one. Each list holds up to 30 reasons of up to 80 characters, and the same reason cannot appear twice in one list. The Edit the reason list link in the reason window, and the stages page link on Deal Reports, bring you here.

What the buttons do

All deals
Returns to the Deals board.
Up and down arrows
Move a stage one place earlier or later in the pipeline.
Stage name
Edit in place; saves when you click away.
Won
Marks the stage as a closed-won outcome. Click again to clear.
Lost
Marks the stage as a closed-lost outcome. Click again to clear.
Win %
The win probability of an open stage, a whole number from 0 to 100. Saves when you press Enter or click away; an empty field clears it. Won and lost stages show a fixed 100% or 0% instead.
Stalled after (days)
The number of days an open deal may sit in this stage before it is marked Stalled, from 1 to 365. Saves when you press Enter or click away; an empty field means no limit. Won and lost stages show Never stalls instead.
Delete (trash icon)
Removes the stage after you confirm. Its deals are kept with no stage.
New stage name and Add stage
Add a stage to the end of the pipeline. Enter also adds it.
Won and lost reasons: Add, rename, trash icon
Add puts a new reason at the end of that list. Editing a reason's text renames it when you click away. The trash icon removes it from the list without asking. Deals that already have a reason keep their wording either way.

Common questions

No. Renames, reorders, win probabilities, stalled limits, won and lost marks, additions and deletions all save as you make them. If one fails, a message says why or asks you to try again.
No. Marking a stage Won clears Lost, and the other way around. You can have more than one won or lost stage; the count line at the top shows how many of each.
They become the columns on the Deals Pipeline board, in the order you set here. Won and lost columns are narrower there unless you filter to all, won or lost deals. Win probabilities add a weighted total to open stage columns on the board and weighted figures on Deal Reports. Stalled after limits drive the Stalled label and the Stalled in stage view on the Deals board.
The deals stay. They show under No stage on the Pipeline board until you move them to another stage.
No. A deal keeps the reason text it was given. The lists only change what the reason window offers next time. Reps can always type their own reason, even when a list is empty.
When a deal moves into a won or lost stage, on the Deals board or the deal page, a window asks why and offers the matching list. The deal page shows the reason, the CSV export has a Close reason column, and Deal Reports totals lost deals by reason.
They count as $0 in the weighted pipeline, and so do deals with no stage. Deal Reports notes how many open stages holding deals have no win probability and links back here, and the board shows Set win probability on those columns once another open stage has one. Their regular open value is not affected.
Each deal counts calendar days from its latest stage move (a deal room signature or an approved agent stage change also counts), or from when it was created if it never moved. Once an open deal's days in its stage are more than that stage's Stalled after limit, it is Stalled. Moving it to another stage starts the count again.
