Overview

Meeting Settings > Reminders configures automated pre-meeting prospect emails for the selected client, including template, timing, recipients, and tests. Reminders go to upcoming booked and rescheduled meetings that are individually set to Send on Booked Meetings. In a self-serve workspace, a Client Admin can turn the workspace Send meeting reminders switch on or off here; the template, timing and recipients stay on the Standard reminder template. Internal SDRs are redirected to the read-only meeting-owner directory before these settings load. Other client users can review the readiness panel, preview and recent sends.

How to use this page

  1. Open Reminders from Meeting Settings

From Platform > Settings > Meeting Settings, select the Reminders tab. The Owners and Outcome Email tabs remain available for the same client. Internal SDRs are redirected to the active-owner directory; ask your manager or strategist about reminder or outcome-email changes.

  2. Check readiness and enable sending

Review the readiness panel, then use the Send meeting reminders switch when the client is ready. Authorized non-SDR employees and a self-serve workspace's Client Admin see this switch. Employees also get Use SalesHive default template, which keeps the global template or lets them customize this client. The switch alone sends nothing: each meeting must also be set to Send in the Reminder column on Booked Meetings.

  3. Configure recipients and content

With the required non-SDR employee management access: Set subject, timing, CC and BCC. Employees can enable CC the meeting owner on every reminder, using the owner configured in Meeting Settings > Owners. For Send timing: Focus the selector and press Up or Down to open it. Use Up/Down to move, Home/End to jump to the first/last option, and Enter or Space to choose. If a search field appears, type to filter, then press Down to reach the options. Escape closes without changing the value; Tab closes and moves on.

  4. Send a test

Authorized non-SDR employees can select Send Test in Preview to open the test dialog. Review the recipients before sending the sample email. This is a real email send.

What the buttons do

Owners / Reminders / Outcome Email
Management view, subject to your access: Meeting Settings tabs for the selected client's owner routing, pre-meeting reminders, and post-meeting update.
Send meeting reminders
Workspace switch for the selected client's automated reminders. Shown to authorized non-SDR employees and to a self-serve workspace's Client Admin.
Use SalesHive default template
Employees only: keeps the global default template, or turn it off to customize subject, body and timing for this client.
CC the meeting owner on every reminder
Management view, subject to your access: Copies the meeting owner configured on the Owners tab.
Send Test
Authorized non-SDR employees: open the test dialog to review recipients before sending a sample reminder.
Template / Recently sent
Switch between the reminder template with its preview and the list of recent reminder sends, including failed ones, for this client. Reminders are checked every 30 minutes, so a new send can take that long to appear.

Common questions

They are the Reminders tab within Platform > Settings > Meeting Settings.
Upcoming meetings with the status Meeting Set or Meeting Rescheduled, when the Send meeting reminders switch is on and that meeting is set to Send in the Reminder column on Booked Meetings. A rescheduled meeting is reminded for its new time. Each meeting time gets at most one reminder.
Yes. A Client Admin of a self-serve workspace can switch Send meeting reminders on or off here. Then anyone on the team can set each upcoming meeting to Send on Booked Meetings. The template, timing and extra recipients stay on the standard reminder, which the readiness panel shows as the Standard template. If that template is ever turned off, the page says reminders will not send and asks you to use Get help. Other members see a note asking a workspace admin to turn reminders on. If the workspace plan ends (canceled, unpaid or paused), reminders stop sending until the plan restarts.
Automated prospect reminders use the client's own mailboxes, never a SalesHive address. For a meeting booked during Campaign Relief, the sender is the covered SDR's active mailbox for that client, identified from coverage on the booking date. Later assignments do not change that owner or the booking credit. If coverage is missing or ambiguous, or that mailbox is unavailable, the reminder is held. It does not switch to a Primary alias or another sender when that mailbox reaches its daily limit. For other meetings, email bookings try the Primary mailbox first and phone or other SDR bookings try the booking SDR's mailbox first; a daily-limit failure can try the other eligible mailbox. Self-serve reminders try connected workspace mailboxes in connection order. Daily limits apply, and other failures are not retried from a second mailbox.
The owner assigned to that meeting, configured through Meeting Settings > Owners.
Review Preview on the page. Authorized non-SDR employees can select Send Test to review recipients in the test dialog before sending a real sample email. Internal SDRs cannot send reminder tests from Settings.
Internal SDRs receive a read-only Meeting Settings directory instead of reminder or outcome-email controls. Ask your manager or strategist to change these settings or arrange a test. This does not disable reminders already configured for the client.
