Overview

Potential Meetings is the selected client workspace for prospects that may become meetings. Search, status, campaign, and Set By controls narrow the list, while engagement and last-contacted date filters help focus follow-up work. Column order is saved for this table. Set By identifies who originally qualified the prospect as a Potential Meeting, on both this page and the embedded Follow-Ups view. The list, filter, sorting and CSV use that historical attribution, separately from current follow-up ownership. Overdue prospects remain visible through the Overdue summary, follow-up date treatment, and explicit Overdue label without tinting the entire row. Call and selection controls continue to follow the shared warm-prospect eligibility decision. A self-serve workspace has no calling, so its rows offer Open in inbox and Email instead. For internal users while the priority rollout is active, a recent provider-backed call tied to the current Potential action and made on the previous local calendar day or later relative to its date-only due date removes that row from the Overdue count and label during the five-business-day window. The date cell shows Called, the date, result, and needs next step. The potential remains open with its saved date. Where email evidence is separately enabled, a verified human SDR Inbox reply to the exact prospect and current Potential action can also qualify under the same date and five-business-day rules, showing Email reply sent and needs next step. An unanswered qualifying prospect reply takes priority over worked credit. Calls made two or more calendar days before the due date, unrelated outreach, unverified email, or unavailable evidence do not qualify. Changing the date requires fresh evidence; older calls cannot satisfy a new obligation. Client viewers retain their existing behavior. If the priority rollout is narrowed or disabled, board availability follows that setting. On enabled internal views, a date-only follow-up marked Worked, needs next step shows Original due when it has both a saved due date and qualifying outreach evidence. The date is visually subdued because it is context for the work already attempted. It is not cleared or moved, and the follow-up remains open. Timed promises, confirmations, missing evidence, and work that needs attention keep Follow-up Date. Review Activity Notes and choose the next step using the controls available in that view.

How to use this page

  1. Open the Potential queue

Choose a client, then open Potential Meetings under Meetings. The Platform header identifies the route as Potential Meetings, and a table-shaped loading state appears while the read completes. No client selection shows a prompt instead of the table. The overview count is the actionable Potential follow-up total, while Past potentials remains a separate historical view.

  2. Understand the visible scope

Potential Meetings is access-scoped for the selected client. Manager-level and other authorized leadership roles, and every client user, see the selected client's full Potential queue. Other employees see contacts connected through current ownership, original potential-setter attribution, meeting-setting, or current or most recent campaign assignment. On a shared calling queue, campaign assignment means the SDR who owns that contact's calling half, and a half whose SDR has left the client returns to the primary SDR. Booking stays employee-only. Use the visible filters to focus the work available to you.

  3. Filter the list

Use Search prospects, All Statuses, All Campaigns, and All Set By to narrow the list. Select Filters for engagement stage and last-contacted date limits. Above the table, Clear search and filters appears whenever any search or filter value is set, even when no rows match. Select it to clear search, status, campaign, engagement, Set By, and both date limits together. Past potentials stays as you set it; use that toggle separately to include or hide terminal prospects.

  4. Arrange and expand the table

Drag a column grip, or focus it and use the left and right arrow keys, to change the saved column order. Reset columns restores the default order. Select a heading to sort. Expand a row to review notes and, where calling is available, call history.

  5. Review and retry contact notes

Expand a row to open its history and Notes. Employee views show call history beside the notes; a self-serve workspace shows Notes only. Loading notes appears during the read. If the notes request fails, SalesHive shows Could not load notes. Try again with Retry instead of treating the history as empty. Select Retry to load the same contact thread again.

  6. Review prospect context

Read the contact, company, campaign, source, Potential status, Set By, created date, last-contacted temperature, engagement stage, follow-up counts, last follow-up and Follow-up date columns. Set By shows who originally qualified the prospect on both this page and Follow-Ups. Unattributed means reliable historical setter attribution is unavailable. Current follow-up ownership remains separate. A local-time badge appears when a phone number provides a prospect timezone.

  7. Follow up or call

Use the row Call action only when the prospect is currently eligible and an eligible, non-archived campaign can supply dial settings and calling material. SalesHive keeps an unavailable prospect visible but disables its checkbox and Call control with the reason. Reasons include terminal or booked status, contact or domain blocking, another booked or qualified contact at the company, the client working that company in its own pipeline, another SDR already claiming the prospect in an active dial session, or no usable campaign. Eligible calls open the campaign-scoped Dialer. On accounts with hotel-location outreach enabled, the hold applies to the booked property instead of every hotel sharing a brand domain. Missing Hotel Location ID can also block outreach. Explicit Do Not Call and other blocking rules still apply.

  8. Keep bulk actions inside the current view

Bulk selection and Dialer URLs use only callable rows currently visible under the active filters. Select all skips unavailable prospects, the actionable and callable totals use the same eligibility decision, and each campaign button contains only its eligible contacts. If filters or availability change, hidden or unavailable rows do not enter the visible bulk bar or Dialer URL. Clear removes the remaining selection.

  9. Follow up by email in a self-serve workspace

A self-serve workspace has no calling, so rows show no checkboxes, bulk Call bar or Call button. Select Open in inbox to see the Email Inbox already searched for the prospect's email address (shown only when the prospect has one). Select Email to open the contact's page with a new email ready to write; if no mailbox is connected, that page explains why. Follow-Ups is not part of a self-serve workspace, so its link opens this page instead.

  10. Maintain status and engagement

Use the row status select to update the Potential sub-status. The status options include active labels and terminal labels such as Unresponsive, Not interested, Unqualified, and Blacklisted. Use the engagement select to keep the automatic stage or choose a manual stage override. Follow-up date is editable in its row cell, and overdue dates are marked in the table.

  11. Book a meeting

For an active employee-visible potential, choose Book, then enter the meeting date and time, timezone, source, optional owner, and description. Saving moves the prospect into the booked meeting workflow. Past potentials do not show the Book action. Client users can review matching rows but cannot book.

  12. Use the designated employee presentation projection

Authorized employees can also work the embedded Potential worklist inside Pending. That projection inherits the Follow-Ups search, campaign, Set By, and due-timing filters, supports expansion and campaign-grouped calling, and links back here for the complete table. Source date editing remains limited to the approved presentation cohort.

  13. Review a worked potential

Where email evidence is separately enabled, a verified human SDR Inbox reply to the prospect's incoming message on the current Potential action can also qualify under the same date and five-business-day rules, showing Email reply sent and needs next step. An unanswered qualifying prospect reply takes priority over worked credit. A prospect reply counts when it comes from the contact's email address, from another address at the contact's company domain (free mail such as Gmail does not count), or as an answer to an email sent to the contact. Review the row history and choose the next follow-up date or appropriate action.

  14. Read Original due after verified work

The worked outreach display shows the call or email reply date first, then a compact outlined result label, such as No answer or Reply recorded, with Needs next step underneath. Hover for available time and actor details.

  15. Review recognized campaign work

On separately enabled internal accounts, an ordinary campaign call can also mark one dated Potential, Asked for Info or Callback obligation Worked, needs next step. SalesHive must verify the prospect, selected client, campaign, calling session and caller, and find only one unambiguous obligation. Another open or recently completed callback can prevent credit even when it is hidden from the current view. The call must meet the existing due-date and five-business-day rules; timed callbacks still require work at or after the promised time. Later status, date or callback changes invalidate older calls. Confirmation and Reschedule keep their meeting-specific evidence, and Referral remains eligible for verified email credit only. This recognition changes no saved date, status or task completion. Review Activity Notes and choose the next step. Availability is limited to selected internal accounts and can differ between clients; it is not enabled for every account or for client views.

  16. Read an optional follow-up date

In the Follow-Ups presentation of Potential Meetings, an empty follow-up date reads Not scheduled. The Action area does not repeat a Needs date badge for an undated potential. An optional missing date does not by itself mean the prospect is overdue. Use the existing date control where editing is available to choose the next follow-up date; viewing the label changes no date, status or completion.

  17. Review removal from the Follow-Ups presentation

When this Potential list is embedded in an authorized internal Follow-Ups view, each row shows Remove Potential. The first click only opens the row history; it does not remove the prospect. Review Activity Notes, then select Remove Potential again (now red) and confirm. The prospect becomes Unresponsive, the follow-up date clears and open same-contact Callbacks close; the contact and decision history remain. Keep Active cancels. This shortcut does not add removal permissions to client or read-only views.

  18. Read the contact job title

In the Potential Meetings table, Title has its own sortable column that you can reorder with the others, and Not recorded means no job title is saved. Existing column preferences are kept. When these rows appear inside Follow-Ups, the title sits under the company name instead; hover over a long title to read all of it.

  19. Distinguish the original setter from the current owner

Use Set By to review original qualification attribution. Current follow-up ownership is separate; changing an owner does not replace the original setter.

Common questions

Potential Meetings is access-scoped. Manager-level and other authorized leadership roles, and every client user, see the selected client's full Potential queue, including rows labeled Forward to Client. Other employees see rows connected through current ownership, original potential-setter attribution, meeting-setting, or current or most recent campaign assignment (on a shared calling queue, only your own calling half). Booking stays employee-only.
The default table shows Interested and active potential prospects that are still follow-up-worthy. Past potentials are terminal prospects with Potential Meeting history and appear only after you choose Past potentials. A current terminal Potential sub-status, including Unresponsive, Not interested, Unqualified, or Blacklisted, takes precedence over an older legacy label.
Yes, use the row Call action when an eligible active, non-archived campaign supplies dial settings and a script. For bulk work, select visible rows and choose the campaign-specific call button for the group you want. One button appears per selected campaign, and a contact without a usable campaign remains visible but cannot be called. A self-serve workspace has no calling, so its rows offer Open in inbox and Email instead.
The bulk bar and dialer URLs use only selected rows currently visible under the active filters. A row that remains checked in stored selection state but is hidden by a filter is not included until it is visible again.
The prospect has no current campaign enrollment that can supply the follow-up dialer settings and script. Use the campaign filter to review these rows, but expect Call to remain unavailable until a usable campaign is present.
Yes. Drag a column grip, or use its left and right arrow-key controls. SalesHive saves the order for this table, and Reset columns restores the default.
Set By identifies who originally qualified the prospect as a Potential Meeting. Both the standalone page and Follow-Ups use this historical attribution in the list, filters, sorting and CSV. Changing the current Potential Meeting Owner does not change this attribution. Unattributed means reliable historical setter evidence is unavailable. When the Email Responder sorts a reply as Interested, or an agent hands a meeting request to a person to book, the prospect becomes a potential and Set By goes to the mailbox's SDR or the SDR who made the call, unless someone already has it.
The Potential follow-ups stat counts visible rows whose potential tier is Interested or active. Past potentials are not included in that actionable total, even when Past potentials is enabled.
Auto uses the stage calculated from migrated history and new touches. Choosing a stage applies a manual override, which is shown in the control's supporting information.
Authorized employees can use Book for active potential rows and enter the required meeting details. Past potentials do not show Book, and permission or missing contact conditions can still prevent a booking. Client users can review matching potentials, including Forward to Client rows, but booking stays employee-only.
The full Potential Meetings page edits the contact's Follow-up date. In the approved Follow-ups pilot, the embedded Potential view uses that date to create or revise the pilot's open Callback action.
It is a compact worklist for Potential rows inside Pending on designated employee presentation views. It shares Follow-ups search, campaign, Set By, and due-timing filters, supports expansion and campaign-grouped calling, and links back to this full page for the complete table. Source date editing remains limited to the approved presentation cohort.
The notes request failed, so SalesHive cannot honestly say the history is empty. Select Retry to read the thread again.
Some migrated call records contain only technical provenance about the import. SalesHive hides that marker because it is not a prospect note or SDR-authored context. The call result and time remain available.
The row remains visible for review, but SalesHive found a current calling guard. The reason appears beside or on the disabled control. Common reasons are a terminal or booked status, a contact or domain block, another booked or qualified contact at the company, the client working that company in its own pipeline, another SDR active with the prospect, or no eligible campaign that can supply Dialer settings. Hotel-location accounts can also block a row for a missing property identity or a meeting already booked at that property.
The table has one Set By column and filter for original qualification attribution, with no separate Owner column. Current follow-up ownership is separate. Unattributed means reliable historical setter attribution is unavailable, not necessarily that the prospect has no current owner.
The page no longer colors the entire row. Use the Overdue overview count, the follow-up date treatment, and the explicit Overdue label to identify late work.
For internal users while the priority rollout is active, yes, when the provider-backed call is tied to the exact current action and remains within the five-business-day window. One-day-early credit uses the local calendar, not a rolling 24-hour period or the previous business day. A Sunday call can count for a Monday date; a Friday call cannot. Qualifying work is recognized immediately, even before a date-only reminder expires. The saved date and reminder pause remain in place until their existing workflow changes them. The follow-up stays open and still needs a next step. Timed callbacks require a call at or after the promised time. A later date edit invalidates older evidence.
No. On internal boards while the priority rollout is active, verified SDR reply evidence can mark the current action worked, while an unanswered prospect reply requires review. Neither changes the saved date or closes the potential. Review the conversation, respond as needed, and choose the next step. Automated or imported email does not provide this verified reply credit.
No. Internal priority evidence is available across selected clients while the rollout is active, but you can only see work already allowed for your account. It does not enable reminders, status progression, calendar views, removal or calling controls. Client viewers keep their established presentation.
A restricted client user type, including the default client SDR type, does not include this page. Your client user type applies separately to the selected client. It narrows existing access; it does not add access to another client or employee features. Restricted types see only permitted navigation. A blocked page can redirect to an allowed page. If Client access says no features are available, contact your SalesHive team to review your permissions.
Compact follow-up rows now show their type and available stage, priority or reminder badges without repeating Action above each row. Read the badges to identify the work. This layout change does not change dates, eligibility or available actions.
Follow-up calling requires an active, non-archived campaign for every selected client. Historical enrollment can supply the campaign only while that campaign remains active. Paused and archived campaigns cannot act as a follow-up calling shell. Saved booking history does not override this rule; existing phone, assignment and compliance checks still apply. Standalone Potential Meetings retains its campaign-specific call buttons, rather than the combined Follow-Ups control.
Yes. The Email Responder checks due Interested and Asked for Info prospects in active campaigns with Email responder on, including calling-only campaigns. It reads the conversation first and sends a relevant follow-up only when warranted; a due date alone does not require another email. A statement such as I will reply if interested can need no response. It uses an eligible Primary or SDR mailbox in Live mode, sends from 8 AM to 6 PM Eastern, and uses the existing thread when possible. A future Follow-up date holds the email. After activity on or after that date, the usual gap is three days; a newly due saved date can qualify sooner, but never within 24 hours of the last touch. Changing Asked for Info to Interested alone does not count as a new contact attempt or postpone a due email. Sending leaves the saved date unchanged. Agents can fill an empty date but cannot replace or clear a saved one. An explicit new prospect timing request that conflicts with that date needs a person to review the request and both dates; an inferred better date does not create a human hold. Follow-ups stop at six logged attempts, while the prospect awaits a reply, or after a booking handoff. Without a newly due saved date, prospects untouched for more than 90 days are left for a person. Address validation, unsubscribe and blacklist checks still apply. For meeting times, agents use the active campaign calendar, then the active client default, then an eligible round robin pick. Only proven calendars supply times. A proven campaign or default calendar with booking off can still supply real times, but a person must book. An active campaign or default calendar is not bypassed when proof is missing or booking is off. Round robin requires booking to be on. With no eligible calendar, agents offer no times or booking link. Booking requires Live mode and permission; moving or cancelling depends on the provider. See Settings > Calendar for setup.
Calling is not part of the self-serve plan, so Potential Meetings leaves out the selection column, bulk Call bar, Call button and call history. Work warm prospects by email: Open in inbox finds their replies, and Email opens a new message from the contact page.
Being due does not by itself mean another email should be sent. The Email Responder checks the actual conversation, respects information-only requests, a prospect's promise to reach out and requested phone callbacks, and offers meeting times only when warranted. Potential follow-up emails currently go only to the prospect. If the applicable booking instructions explicitly require additional recipients, the follow-up stays unsent for a person who can include them. This leaves the contact's status and saved follow-up date unchanged and does not itself create a meeting handoff.
