Overview

Users manages client logins for the selected deal. Add or reuse passwordless email-code logins, correct a member's name or email, archive or reactivate access, and let admins use each member's More menu to preview the exact selected-deal experience, remove access, or grant tightly bounded booked-meeting status updates. Client Admins and authorized internal administrators can assign available client roles when adding users or managing another active member. Each role applies only to the selected client. In a self-serve workspace, teammates are Admin or Member (new ones start as Member), and anyone who is not a Client Admin, such as a Member, sees the team read-only. In a self-serve workspace, each active member uses one paid seat, the page shows how many seats are in use, and new members get an invite email that a Client Admin can resend until they first sign in. For other clients SalesHive emails nobody, so after you add someone the page shows a sign-in link to send them, and More offers Copy sign-in link until they first sign in. Client Admins also get an in-app notice when a colleague asks to join, which opens Add User filled in. In a self-serve workspace, archiving or removing a teammate also stops the mailboxes they connected from sending campaign email and moves invoices off them if they were the billing contact. While the self-serve plan is switched on, How teammates and seats work at the top opens a short article on roles, adding teammates, seat charges and what happens when someone leaves.

How to use this page

  1. Select the client deal

Choose the client in the switcher. The page and every action are scoped to that selected deal, so a multi-deal client login can be managed one deal at a time.

  2. Review the team

The stat band shows Active and Archived members for this deal. In a self-serve workspace it also shows Seats in use, for example 3 of 5, with a link to Plan and billing. When every seat is taken, a Client Admin sees Add a seat instead, which opens Change seats on Plan and billing; if the plan is already at its top seat count, the link reads Ask about more seats and opens that request on Plan and billing. Each directory entry shows the member, email, role, Email code, join date, last login (or Never), and available actions. On narrow screens, these details stack beneath the member name, with Edit and More below the activity dates when you can manage that person. More keeps its text label on phones, and long email addresses wrap to fit. A Meeting status badge identifies a member with the selected deal's active grant. Turn on Show Archived to include archived members, including archived teammates in a self-serve workspace, so you can reactivate them. In a self-serve workspace, a notice above the directory lists each paused mailbox whose connector is no longer an active teammate here (archived or removed), with who connected it. A mailbox your team turned off while its connector is still on the team, or one the SalesHive team connected, is not listed. People who can manage the team also see Open Email accounts there. In a self-serve workspace, anyone who is not a Client Admin, such as a Member, sees the same list without Add User, Edit or More, and a note that only a Client Admin can add or remove teammates.

  3. Add a member

Select Add User and enter a name and email. If you can manage client roles, choose the required Client role, then select Add User. The form starts on Member in a self-serve workspace and on SDR for other clients. In a self-serve workspace, choose Admin or Member. For other clients, choose Admin, User, SDR, another available shared role, or Custom. For Custom, review every Allowed actions checkbox before adding the member. The role and membership are saved together for this client. An eligible existing active client login can be added without changing its other client memberships. In a self-serve workspace, a Client Admin cannot add an email that already signs in to another SalesHive workspace; the form says so, so ask the person to use a different email. The exception is a colleague whose only other workspace is an older one at your company that never started a plan and no longer holds your company's email domain: Add User adds them and moves them here, switching off their access to that older workspace without deleting anything in it. If the user already belongs to this client, use the directory to change their role instead. A client login cannot add an email whose SalesHive login was turned off, a demo login or its own email; the form says This email cannot be added, so contact your SalesHive team. In a self-serve workspace with every seat taken, the form says so and shows Add a seat, which opens Change seats on Plan and billing, and How seats work, which opens the seats article here; add a seat first. If the plan is already at its top seat count, the form says how high the plan goes and shows Ask about more seats instead, which opens a request to our team on Plan and billing. In a self-serve workspace, SalesHive also emails the new member an invite with a sign-in link and their email filled in. A success message confirms Invite sent. If the invite fails to send, the member is still added; use Resend invite from their More menu, or ask them to sign in at app.saleshive.com with that email. For other clients SalesHive emails nobody, and the Add dialog says so. Once the member is added, a panel above the directory says they are added and shows their sign-in link with Copy link. Send them that link yourself; it opens the login page with their email filled in, and they get a one-time code by email when they sign in. Close the panel with the X.

  4. Add a colleague who asked to join

In a self-serve workspace, a colleague at your company can use Ask your admin to add you when they try to sign up. Each Client Admin gets an in-app notice with their name and email. Open the notice to land here with Add User already filled in. Check that you know the person, choose their role, then select Add User. The request grants no access on its own, and SalesHive has not confirmed the person owns that email. If they are already an active member, a message says so and the form stays closed.

  5. Edit client details

Choose Edit on another member's row, update the name or email, then select Save details. Email is required, validated, and cannot duplicate an existing client login. If the person also signs in to another SalesHive workspace, a client login cannot change their name or sign-in email here; the save stops with a message, so ask the SalesHive team to change it. Saving without changing those fields still works. The current user cannot edit their own card here.

  6. Use More for secondary actions

Select More on another member's row to open the action menu. From there, archive or reactivate the member. Admins can also enable or disable meeting status access, use Login as user for an active member, or remove that member from the selected deal.

  7. Resend an invite or copy a sign-in link

In a self-serve workspace, a Client Admin can send the invite email again to an active member who has never signed in (Last login reads Never). Select More on their row, then Resend invite. A success message confirms who it went to. Once the person signs in, the option disappears. For other clients there is no invite email. Instead, More shows Copy sign-in link for an active member who has never signed in; it opens the same sign-in link panel above the directory, where Copy link copies it for you to send.

  8. Preview the exact client view

Admins can choose More, then Login as user for an active member. SalesHive chooses the starting page from the selected client's permitted pages, preferring Client Agents, then Campaign Dashboard, then Playmaker when each is available. It keeps the authorized deal pinned. If no starting page is available, the preview does not begin; ask an administrator to review page access. Use Stop Viewing in the top banner to end the preview and clear its client context.

  9. Grant booked-meeting status access when needed

Admins can select More, then Enable meeting status for an active member and confirm the grant. That member can mark a Meeting Set meeting as Meeting Held, Meeting Not Held - Reschedule, or Meeting Not Held - Rep Is Rescheduling, and add meeting notes. The grant does not allow changes to meeting dates, owners, or other fields. Select Disable meeting status to remove it.

  10. Archive, reactivate, or remove access

More contains Archive user or Reactivate user for any other member. In a self-serve workspace, reactivating needs a free seat; if none is left, an error explains that all seats are in use (or, at the plan's top seat count, to ask about more seats in Plan and billing). If the SalesHive team turned off the person's whole login, including an older login with no membership for this client, a client login cannot reactivate them; the error says the login is turned off and to contact your SalesHive team. Admins can use Remove from deal to remove only the selected deal membership after confirming Remove access; if the person has activity records tied to them, archive them instead. In a self-serve workspace, archiving or removing a teammate also pauses every mailbox they connected there, so it stops sending campaign email, and moves its waiting campaign emails to another sender on the same campaign when one is available. If invoices go to that teammate, they move to you (or to the longest-standing active Client Admin when the SalesHive team archives them). The success message says which mailboxes stopped and where invoices go now. If invoices could not be moved, the message says so; pick a new billing contact on Plan and billing. Reactivating a teammate does not restart their mailboxes; connect a mailbox again on Email accounts to send from it. The last active Client Admin cannot be archived or removed; make someone else a Client Admin first.

  11. Assign a client role

As a Client Admin or authorized internal administrator, use the role selector on another active member. For a standard or shared role, review the person, role and selected client, then confirm Change Role. Choosing a standard role replaces prior Custom permissions. In a self-serve workspace the selector offers only Admin and Member. A teammate still on an older role, such as User or Custom, keeps it and shows "Not a plan role. Choose Admin or Member." until you pick one of the two. In a self-serve workspace, the last active Client Admin cannot be moved to Member. Your own role and inactive members cannot be changed here. Wait for Client role updated before leaving. Focus the selector and press Up or Down to open it. Use Up/Down to move, Home/End to jump to the first/last option, and Enter or Space to choose. If a search field appears, type to filter, then press Down to reach the options. Escape closes without changing the value; Tab closes and moves on. Reopening clears the menu search.

  12. Customize one member's permissions

Not available in self-serve workspaces. For other clients, choose Custom in another active member's role selector, or Edit permissions for an existing Custom member. Review Allowed actions, check what the person needs, and select Save permissions. Cancel or Escape closes without saving. After opening Custom from the role selector, closing the dialog returns focus to that selector. These permissions apply only to this person on the selected client and do not change shared role presets. Unchecked actions are unavailable; selecting none disables all listed actions.

What the buttons do

How teammates and seats work / How seats work
Self-serve workspaces only, while the plan is switched on. How teammates and seats work sits at the top of the page for everyone. It opens the "Teammates, roles and seats" article in a side panel: the Admin and Member roles, adding teammates and invites, how seats are charged, the grace period when there are more teammates than seats, and what happens when someone leaves. How seats work shows on the Add User form when every seat is taken and opens the same article in place of the form.
Edit
Open the Edit Client User dialog to correct another member's name or email. A client login cannot change the name or email of someone who also signs in to another SalesHive workspace.
More
Open the row action menu for archive or reactivate, plus Resend invite or Copy sign-in link for an active member who has never signed in. Admins also see meeting status access, Login as user, and Remove from deal when allowed.
Resend invite
Self-serve workspaces only. In the More menu, a Client Admin can email the sign-in invite again to an active member who has never signed in. Limited to once per member per hour and 5 per workspace per day.
Copy sign-in link / Copy link
For clients that do not get invite emails. Copy sign-in link appears in the More menu for an active member who has never signed in and opens a panel with their sign-in link. The same panel appears right after you add someone. Copy link copies it (the button then reads Copied), and the X closes the panel. The link is the login page with their email filled in; it does not sign anyone in by itself.
Add User
Create a new client login or add an existing login to the selected deal. In a self-serve workspace it also emails the member an invite. For other clients nothing is emailed, so a panel shows the member's sign-in link to send. A join request notice opens it with the colleague's name and email filled in.
Archive user / Reactivate user
Stop or restore selected-deal access while preserving the login and history. In a self-serve workspace, archiving also pauses mailboxes the person connected and moves invoices off them.
Enable meeting status / Disable meeting status
Give or remove the selected deal's limited Meeting Set status-update access.
Login as user
Open the member's permitted view with this exact authorized deal pinned for the preview.
Stop Viewing
End the admin preview, clear its client context from this tab, and return to the Platform.
Remove from deal
Remove access only to the selected deal while retaining other memberships when applicable.
Client role / Change Role
Choose an available role when adding a user, or confirm a role change for another active member of the selected client. Self-serve workspaces offer Admin and Member only.
Custom / Edit permissions
Open individual Allowed actions for another active member of the selected client. Not offered in self-serve workspaces.
Save permissions
Save the reviewed Custom actions for this membership.
Show Archived
Include archived members in the directory. The count of archived members appears in the label.
Plan and billing / Add a seat / Ask about more seats
Self-serve workspaces only. The Seats in use count links to Plan and billing. When every seat is taken, a Client Admin sees Add a seat there and on the Add User form, which opens Change seats directly. If the plan is already at its top seat count, both read Ask about more seats instead and open the more seats request on Plan and billing.
Open Email accounts
Self-serve workspaces only. Shown in the paused mailboxes notice to people who can manage the team. Opens Email accounts, where connecting a paused mailbox again lets it send.

Common questions

Yes, with Edit: change the name or enter a new valid email, then select Save details. SalesHive prevents an email already used by another client login. If the person also signs in to another SalesHive workspace, their name and sign-in email are shared by every workspace, so only the SalesHive team can change either one. A client login's save stops with a message and nothing changes; ask the SalesHive team to make the change.
Select More on the member's row. Archive or Reactivate appears for another member. In a self-serve workspace, a Client Admin also sees Resend invite for an active member who has never signed in; for other clients, More shows Copy sign-in link for that member instead. Admins see additional permitted actions such as meeting status access, Login as user, and Remove from deal.
No. Edit is shown for other members, not the current user.
Client portal members verify a new browser with a one-time code sent to their email. There is no password to set or reset. In a self-serve workspace, a new member also gets an invite email from SalesHive with a Sign in to SalesHive button, and a Client Admin can send it again with More, then Resend invite, until they first sign in. For other clients no invite is sent. After you add them, the page shows a sign-in link to send them, and More, then Copy sign-in link brings it back until they first sign in.
Archive keeps the selected deal membership inactive and preserves the login and history. Remove from deal removes access to the selected deal while retaining other memberships when applicable. If the person has activity records tied to them, removal stops and suggests archiving instead. In a self-serve workspace, both also stop the mailboxes the person connected from sending and move invoices off them.
In a self-serve workspace, each mailbox they connected is paused and stops sending campaign email. Its waiting campaign emails move to another sender on the same campaign, or stop if no other sender is left. The mailbox shows in the paused notice on this page until someone connects it again on Email accounts. Reactivating the teammate does not turn the mailbox back on, but it leaves the notice because the person who connected it is on the team again. If they were the billing contact, invoices move to the Client Admin who archived them, or to another Client Admin when the SalesHive team archived them. If that cannot happen, the message tells you to pick a new billing contact on Plan and billing. Other clients are not affected.
An admin can grant an active client member permission to mark the selected deal's Meeting Set meetings as Meeting Held, Meeting Not Held - Reschedule, or Meeting Not Held - Rep Is Rescheduling, plus add meeting notes. It cannot edit other meeting details.
No. The preview uses the exact deal authorized when Login as user begins and keeps that deal pinned until you select Stop Viewing.
SalesHive chooses the starting page from the selected client's permitted pages, preferring Client Agents, then Campaign Dashboard, then Playmaker when each is available. It keeps the authorized deal pinned. If no starting page is available, the preview does not begin; ask an administrator to review page access.
A Client Admin with active access to the current client, or an authorized internal administrator, can assign the available client roles. Other members see role labels. In a self-serve workspace, anyone who is not a Client Admin, such as a Member, cannot add, edit or archive teammates. You cannot change your own role. Login as user follows the viewed user's authority.
A self-serve workspace always keeps at least one active Client Admin, because only a Client Admin can manage billing, seats and teammates. If the person is the last one, Archive user, Remove from deal or a role change stops with a message and nothing changes. Make someone else a Client Admin first, then try again. Other workspaces are not affected.
No. The role applies only to the selected client. Existing memberships and roles for other clients remain unchanged.
Admin includes account access and managing other users' roles. User retains existing account access without role management. Member is the self-serve preset: contacts, deals, meetings, inbox, email and campaigns, without calling, and adding or changing teammates, seats and billing stay with Client Admins. SDR is a preset for calling, manual email and contact updates. Self-serve workspaces offer only Admin and Member. Other clients offer Admin, User, SDR, Custom and other shared roles, never Member. Custom lets you choose the listed actions for one member. Other shared roles use their saved preset.
Self-serve workspaces use only Admin and Member. That teammate is still on an older role, such as User or Custom, which keeps working until you change it. A Client Admin can pick Admin or Member in their role selector to fix it.
No. Custom users cannot manage user roles, even with every checkbox selected. Existing client features, page access and other permission checks still apply.
No. It replaces the role preset for this membership only. Other people and the user's access to other clients keep their existing settings.
In a self-serve workspace, each active member takes one paid seat. When every seat is in use, or the plan has not started, SalesHive stops the add or reactivation. On Add User, an Add a seat link opens Change seats on Plan and billing. If the plan is already at its top seat count, no seat can be added there, so the link reads Ask about more seats and sends our team a request from Plan and billing; or archive a member you no longer need. If the workspace already has more teammates than seats (for example after seats were lowered in Stripe), the message says how many of each and you need to add seats first. Everyone keeps access for a short grace period, with the end date shown on Plan and billing; after it, only Client Admins can use the workspace until everyone has a seat. Add a seat in Plan and billing, or archive a member you no longer need, then try again. Someone who is already an active member never needs a second seat. If the message says the email already signs in to another SalesHive workspace, nothing was added and no seat was used; ask the person for a different email. A colleague whose only other workspace is an older unpaid one at your company is the exception and can be added. Re-adding someone who already belongs to this workspace is not affected. If the message says the login is turned off or the email cannot be added, the SalesHive team turned that login off (or it is a demo login or your own), so contact your SalesHive team.
You opened a workspace join request notice. It fills in the colleague's name and email once, then clears them from the address so a reload does not reopen the form. Nothing is saved until you select Add User, and the usual seat limit and invite email apply.
Resend invite shows only in self-serve workspaces, only to a Client Admin, and only for an active member whose Last login reads Never. Each member can get one resend per hour, and the workspace can send 5 resends in a rolling day; the message says how long to wait. If the person has already signed in, they do not need a new invite. A send that fails does not count toward the limits, so you can try again right away.
No. Sending or syncing an ordinary email does not create a client login or add its sender, To, Cc or Bcc recipients to the client. A linked CRM contact or email is not a client membership. To add an intended teammate, use Add User with the required permissions. Eligible signed-contract participants and kickoff invitees can still receive access through those separate onboarding steps.
